Salary: £26,000 per annum, plus company benefits

Location: Edinburgh,

Contract: Full Time, Permanent

Shifts: 37.5 hours per week, Monday – Friday, rotational shifts between 8.00am and 6.00pm

Williams Lea seeks a Receptionist Workflow Coordinator to join our team!

Purpose of role 

As a Reception Workflow Coordinator, you will play a hands on role in managing daily reception tasks, ensuring a high standard of client service, and coordinating the workflow to ensure smooth operations. You will act as a central point of contact for visitors and staff, playing an integral part in streamlining internal communications and supporting the administrative functions of the business.

Key responsibilities 

  • Reception Management: Greet visitors and clients in a professional manner, manage incoming calls and emails, and handle inquiries.

  • Workflow Coordination: Assist in scheduling meetings, organising appointments, and managing daily administrative tasks to maintain efficient office operations.

  • Hands-On Administrative Support: Provide direct support to different departments by handling documentation, filing, and data entry.

  • Visitor & Client Assistance: Oversee the signing-in process, ensuring security protocols are followed while delivering excellent customer service.

  • Office Coordination: Manage supplies, monitor inventory levels, and liaise with vendors for office needs.

  • Problem Solving: Respond to any issues at the reception desk, troubleshoot on-the-spot problems, and provide support to staff as needed.

Personal attributes

  • Proven experience in a reception, administrative, or coordinator role.

  • Excellent verbal and written communication skills.

  • Ability to work autonomously while being a team player.

  • Proficient in Microsoft Office.

  • Ability to remain calm under pressure and solve problems efficiently.

  • Strong customer service skills and a welcoming, professional demeanor.
