About the Role:
The Interview Coordination Lead plays a critical role in our Talent Acquisition function, ensuring a seamless and positive candidate experience throughout the interview process. This position serves as the primary point of contact for candidates during their interview journey and provides essential support to both candidates and the recruiting team. The role requires exceptional organizational skills, attention to detail, and a commitment to providing a best-in-class candidate experience while maintaining operational excellence in our recruiting processes.
What You’ll Do:
Coordinate and manage candidate interview schedules, including any candidate travel and lodging accommodations, and distribute appropriate materials to interview teams (resumes, interview forms, agendas, etc.)
Serve as the subject matter expert for interview scheduling processes and procedures, guiding candidates and talent partners on appropriate actions required for successful interview coordination and calendar management
Ensure an excellent candidate experience through prompt follow-up and communication throughout the candidate's lifecycle from initial contact to start date
Orchestrate strategic relationship-building sessions between Talent Operations Scheduling Coordinators and Talent Acquisition teams to strengthen working relationships, including preparing discussion topics, facilitating team interactions, and establishing communication best practices to ensure smooth collaboration
Conduct comprehensive scheduling quality control, including regular audits of calendar invites, interview schedules, and decline patterns, while monitoring the Workday Inbox to ensure all requests meet the 24-hour SLA and alerting the team during high-volume periods
Oversee all scheduling support channels, ensuring prompt resolution of urgent requests, appropriate escalation of critical issues, and consistent maintenance of service level agreements across all communication platforms
Provide oversight of General Interview Scorecard submissions, bounce back emails, and Software Engineering Rubric submissions, addressing any submission failures promptly
Generate and analyze regular reports on interview scheduling metrics, including volume, efficiency, and interviewer utilization, to identify trends, measure performance against goals, and provide data-driven recommendations for process improvements
May assist with other projects as assigned
What You’ll Need:
Bachelor's degree or equivalent experience in Human Resources, Business Administration, or related field
3+ years of experience in recruitment coordination, interview scheduling, or similar role
Demonstrated ability to manage complex scheduling across multiple time zones and stakeholders
Strong knowledge of applicant tracking systems and interview scheduling platforms (Workday experience preferred)
Exceptional attention to detail and ability to maintain confidentiality with sensitive information
Excellent communication and interpersonal skills with the ability to interact professionally with candidates and hiring teams, while also establishing trust and commanding respect among team members
Strong organizational skills with the ability to prioritize competing demands in a fast-paced environment
Leadership experience preferred with a demonstrated ability to guide team members, establish scheduling standards, and drive process improvements across scheduling operations
Bonus Points:
Experience supporting technical recruiting or hiring for engineering roles
Prior experience in the cybersecurity industry or high-growth technology companies
Knowledge of best practices in candidate experience and recruitment operations
Experience with process improvement and implementing scheduling system enhancements
Certification in HR or recruitment operations

Placement within the pay range is dependent on a variety of factors including, but not limited to, relevant work experience, skills, certifications, job level, supervisory status, and location.
