About the Role

You will be part of the Global Workplace Experience team at Perk, a robust team structure with a strong global mindset.

As a Workplace Manager, you will play a pivotal role in ensuring our Barcelona office - an entire 9,417 sqm building in the 22@ district hosting 952 employees- is a secure, welcoming, and inspiring environment for collaboration, creativity, and high performance You will be responsible for guaranteeing smooth operations within the building, staying ahead of potential issues, and providing a 7-star service to enable our employees and leadership to focus on our core mission.

You will also oversee the facilities & experience management of our US offices - Boston (57 employees - HQ), Chicago (114 employees), Miami (14 employees), ensuring that all locations maintain the same high standards of operation and service.

What You’ll Do

Facilities Management
  • Oversee the day-to-day operations of the Barcelona HQ and US offices, including maintenance, cleaning, and workplace services.

  • Develop and implement policies, procedures, and best practices for facilities management.

  • Conduct regular inspections and audits to ensure facilities meet the highest standards.

  • Proactively identify and resolve operational issues to ensure seamless workplace operations.

  • Partner with Internal Communications to keep employees informed about key facilities updates.

Workplace Experience
  • Deliver a 7-star workplace experience across all hubs, ensuring our offices are functional, welcoming, and inspiring.

  • Oversee the overall look and feel of the offices, including workspace layouts, interior design, branding, and workplace amenities.

  • Manage services such as catering, snacks, beverages, coffee stations, and workplace supplies.

  • Support the Community Experience team in organizing internal events and initiatives that bring Perk’s culture to life.

Environmental Management
  • Develop and implement sustainability initiatives to improve environmental performance.

  • Drive programs focused on energy efficiency, waste reduction, and reducing carbon footprint.

  • Track and report on environmental metrics and ensure compliance with regulations and standards.

  • Promote sustainability awareness across the organization.

Security Management
  • Implement local security strategies aligned with Perk’s global security framework.

  • Oversee security vendors and ensure proper functioning of security systems including CCTV, alarms, and access control.

  • Monitor and report on security performance and compliance.

Team Leadership
  • Lead and support a distributed team including Workplace Specialists in Barcelona, Boston, and Chicago, and a Receptionist in Barcelona.

  • Foster a collaborative environment focused on delivering exceptional workplace experiences.

Vendor Management
  • Build strong partnerships with key vendors and service providers.

  • Manage contracts and vendor relationships across services including security, cleaning, maintenance, and facilities.

  • Coordinate vendors and contractors for repairs, renovations, and maintenance.

  • Ensure compliance with health, safety, and environmental regulations.

Technical Services Coordination
  • Collaborate closely with the TechOps team to implement and support workplace technology services.

  • Align on business continuity planning and ensure offices are technically equipped to support employees.

Budget Management
  • Develop and manage facilities budgets including OPEX and CAPEX.

  • Track expenses, identify cost-saving opportunities, and ensure cost-effective operations.

Health & Safety
  • Partner with Health & Safety teams to ensure facilities meet all regulatory requirements.

  • Conduct inspections and maintain safety protocols.

  • Develop and manage emergency response and business continuity plans.

Stakeholder Management
  • Work closely with senior leadership across hubs to understand priorities and support key initiatives.

  • Maintain strong cross-functional partnerships with TechOps, Legal, Finance, and People teams.

  • Communicate project progress and manage expectations with key stakeholders.

Culture & Community
  • Keep Perk’s culture at the heart of everything you do as part of the People Team.

  • Partner with employees and community members to co-create workplace experiences that support their needs.

  • Use data to evaluate workplace initiatives and continuously improve the employee experience.

  • Collaborate with the Community Experience team on initiatives that bring our culture to life in our offices.


What We’re Looking For

This role will be a great fit if you bring a combination of operational excellence, leadership, and a people-first mindset.


Experience
  • Background in architecture, engineering, or a related field, ideally with a Master’s or postgraduate qualification in Facilities Management.

  • Proven experience as a Workplace or Facilities Manager in an international, fast-paced environment.

  • Experience managing large headquarters offices with hundreds or thousands of employees.

  • Strong experience managing vendors, service providers, and office partners.

  • Experience managing budgets and large-scale facilities operations.

  • Comfortable with occasional travel to other locations or new office openings.

Skills
  • Strong English and Spanish communication skills, both written and verbal.

  • Proven ability to collaborate with stakeholders at all levels, including C-suite executives.

  • Strong project management skills, with the ability to plan, execute, and deliver complex initiatives.

  • Ability to keep stakeholders informed and manage expectations effectively.
