MongoDB is seeking a proactive, hands-on Workplace Specialist to manage and elevate our EMEA spoke office portfolio, which primarily consists of co-working and serviced office providers. You’ll be the key driver in ensuring operational excellence is the standard, while also actively cultivating an engaged and vibrant hybrid workplace culture across the region. At MongoDB, our hybrid working culture sits at the heart of how we operate. Through thoughtful design and engagement initiatives, the Workplace Specialist will help ensure our culture thrives and remains strong for all employees, irrespective of working model. This includes providing vital support to our bustling Dublin International Headquarters where you’ll be based. Reporting to the Senior Workplace Manager, EMEA, this in-office role is for a customer-obsessed individual who is passionate about building purposeful, engaged communities where great work thrives.

The Workplace Team at MongoDB plays a key role within the Employee Experience organisation, acting as regional partners to teams and leaders across the company to nurture and strengthen our culture. We work alongside stakeholders every day and at all levels to ensure our workspaces are not just functional, but are vibrant and supportive environments where employees feel inspired to grow and succeed.

If you have a strong background in Workplace operations, vendor relations, and project management, alongside a sharp eye for detail and an appreciation of how to build culture and community organically, especially in a hybrid environment, you may be our person! 

We are looking to speak to candidates who are based in Dublin for our hybrid working model.

Key Responsibilities
  • Act as the central point of contact for all regional spoke offices
  • Serve as the escalation point for Workplace-related matters in our EMEA spoke locations, ensuring consistently smooth service delivery to employees
  • Support project management activities such as office renewals, relocations, expansions, and closures, in collaboration with the Real Estate team
  • Manage vendor, landlord, and service provider relationships, ensuring full compliance with contracts and SLAs
  • Oversee all operational workflows, including work orders, scopes of work, vendor onboarding, and PO creation for Workplace vendors in spoke offices
  • Collaborate with Physical Security on all access control and security procedures
  • Prepare reports on office metrics, using data insights to guide decisions and strategy
  • Identify and implement opportunities to improve operational efficiency and enhance the overall office experience
  • Address ad-hoc service requests quickly and ensure timely resolution
  • Maintain a proactive management culture; engage regularly with local Site Leadership Committees to champion culture building and employee engagement
  • Support local engagement, culture, and community initiatives
  • Manage and coordinate all internal Workplace communications for the spoke offices, ensuring employees are informed about services, events, and important office updates
  • Provide crucial, hands-on support to the existing Workplace team at our Dublin Headquarters
  • Facilitate meeting and event logistics
Requirements
  • 5+ years of relevant, professional Workplace experience, preferably in a large-scale environment with remote management of multiple locations
  • Proven ability to manage events, build culture, handle communications, and boost employee engagement
  • Project management experience
  • Strong background in vendor and stakeholder management
  • Experience in working with leadership to execute workplace strategy
  • Highly organised with an immaculate attention to detail. Ability to multitask
  • Proficient with Google Suite, MS office applications, Slack and Mac
