MongoDB is seeking a proactive, hands-on Workplace Operations Manager to join our team to oversee facilities operations across our larger hub offices in EMEA (currently five locations). Reporting to the Senior Workplace Manager, EMEA, this in-office role would suit an individual who is customer obsessed and thrives on creating purposeful, safe, and engaging spaces that help people work better.
The Workplace Team at MongoDB plays a key role within the Employee Experience organisation, acting as regional partners to teams and leaders across the company to nurture and strengthen our culture. We work alongside stakeholders every day and at all levels to ensure our workspaces are not just functional, but are vibrant and supportive environments where employees feel inspired to grow and succeed.

This role can be based out of our Dublin office.
Key Responsibilities
- Oversee all aspects of facilities operations for our hub locations across EMEA, ensuring smooth service delivery to employees and visitors
- Manage vendor, landlord, and service provider relationships, ensuring compliance with contracts and SLAs
- Oversee work orders, scopes of work, vendor onboarding, and PO creation for all facility vendors
- Demonstrate a strong understanding of HVAC, plumbing, electrical, lighting systems, and general building operations with ability to troubleshoot and perform basic maintenance as needed
- Ensure adherence to EHS (Environmental, Health, and Safety) standards, including OSHA compliance, fire safety, evacuation procedures, and emergency preparedness
- Conduct daily inspections to uphold high operational standards
- Closely partner with the local Workplace team on maintenance tasks. Act as an escalation point
- Collaborate with Physical Security on access control and security procedures
- Prepare reports on office metrics, leverage data to guide decisions
- Manage facilities-related budgets and financial reports, initiating improvements as needed
- Oversee waste disposal, recycling, and sustainability initiatives, aligning with company goals and regulations
- Identify opportunities to improve operational efficiency and the office experience
- Address ad-hoc service requests and ensure timely resolution
- Maintain a culture of proactive maintenance and management. Conduct site visits as required
- Build strong relationships with local leadership, earning trust through collaboration and communication
- Support local engagement, culture, and community initiatives
- Facilitate meeting and event logistics, including room setup
- Support project management activities, including office relocations, expansions, or reconfigurations, in collaboration with the Real Estate team
Requirements
- 5+ years experience in facilities management, preferably in a large-scale environment with remote management of multiple locations
- Strong background in vendor and stakeholder management
- Familiarity with building systems, construction, and maintenance practices
- Knowledge of health and safety regulations, building codes, and environmental management
- Experience in working with leadership to execute workplace strategy
- Project management experience
- Highly organised with an immaculate attention to detail. Ability to multitask
- Proficient with Google Suite, MS office applications, Slack and Mac
- IFMA certification (CFM) or similar professional certification is preferred
